Managing Practitioner's Calendar Settings

You can manage your calendar settings for online booking and syncing your Noterro calendar to an external calendar. Noterro provides you with the necessary tools to manage your calendar settings. Let's explore each of these actions in detail.

Google Calendar Sync

Connect your Noterro account to Google Calendar and see your Noterro appointments within your Google Calendar. This is a direct integration, which means it's not subject to the typical "24-hour delay" that Google Calendar would have by using a Subscribed Calendar sync method.

  1. Log in as a Practitioner
  2. Click your Profile Picture or Initials in the top right header
  3. Click on Calendar
  4. Scroll to the Google Calendar section
  5. Click Connect to Google (if it is connected and you want to disconnect the Google calendar, click Disconnect)
  6. Sign in to your Google Account
  7. Click Allow
  8. Choose your Calendar (if applicable)
  9. Optional: Check Enable 2-Way Sync and Display Events if you would like to see your Google Events in your Noterro Calendar

Google Calendar Two-Way Sync

The events in your Google Calendar will be represented in Noterro so that you can avoid conflicts in your schedule. Other staff members will see that your time is blocked, but won't see details about the event. New connections will display all future events from your Noterro calendar as well as historical ones (maximum 30 days ago).

Your events in your Google calendar will have a status of "Busy" or Free". "Busy" events in your Google calendar will block your Noterro calendar from appointment conflicts. The events in your Google Calendar will be represented in Noterro so that you can avoid conflicts in your schedule. Other staff members will see that your time is blocked, but won't see details about the event.

Sync (non-Google calendars)

Calendar apps like Apple Calendar and Microsoft Outlook also have the ability to display your Noterro Calendar appointments, group bookings, and breaks. Generate a link to view your appointments in your preferred calendar app. The external calendar is a one-way sync, so you will be able to see your appointments in your external calendar, and you will need to log in to Noterro to update your calendar.

  4. Scroll to the Sync section
  5. Click Generate Link
  6. Click Copy Link

This link should be kept private. If you suspect that your link has been exposed, it is recommended that you click Remove Link and generate a new link for your calendars.

Manage Appointment Cancellations

Each Practitioner has the choice of allowing Patients to cancel their appointments. In addition, the Practitioner can specify how many hours in advance of the appointment it can be cancelled. If a Patient does cancel their appointment, the Practitioner can receive an email notification.

  2. Click your Profile Picture or Initials (top right)
  3. Click on Calendar
  4. Scroll to the Cancellations section
  5. Check Allow Cancellations
  6. Set Hours
  7. Click Save

Managing Online Booking Scheduling Limits

Each Practitioner can set limits on how online booking allows appointments to be booked.

Minimum Lead Time: The minimum amount of time or notice provided before Patients can book an appointment online.

Maximum Lead Time: is the rolling number of days or weeks into the future your calendar will be displayed for online booking.

Maximum Appointments per Day: The maximum number of appointments you allow to be booked in a single day.

Maximum Hours per Day: The maximum number of treatment hours that can be booked in a single day.

Cluster Bookings: When you have appointments and breaks booked in your calendar, Cluster Bookings will ensure Patients book adjacent to these existing appointments and breaks. When this feature is enabled, it will effectively "cluster" your appointments closer together to reduce gaps in your day. Enabling the cluster booking feature will present fewer options to your Patients in your online booking calendar when used.

  1. Login as Practitioner
  2. Click your Profile Picture or Initials (top right)
  3. Click on Calendar
  4. Click on Scheduling Limits
  5. Update your Settings
  6. Click Save

Important Note: The hours booked are based on the treatment time. A 60-minute treatment with 15 minutes of recovery time will only count as 60 minutes towards your daily maximum. Also, all scheduling limits are specific to a Practitioner, so each Practitioner at the same clinic can have different minimum and maximum lead times.
