Patient Clinical Notes: Edit, Finalize, View, Follow-Up

The clinical note listing page provides visibility to a Patient's entire list of clinical notes. Here's how you can access this page and perform various actions.

Locating the Clinical Note Listing page

  1. Click on the Patient's name.
  2. Click on Clinical Notes in the left sidebar.

Editing a Clinical Note

All open notes that still need editing will be in the Draft Section on the Clinical Note Listing Page.

  1. Click on the Name of the Service under the service detail column.
  2. You can also click on the Three Dots at the end of the Service row.
  3. Click Edit.

Important Note: If no service name has been saved to the note, it will be displayed as a Clinical Note.

Finalizing a Clinical Note

The Clinical Note Listing Page allows you to finalize a draft note that has been completed.

  1. Locate the completed Draft Note.
  2. Click on the Three Dots at the end of the Service row.
  3. Click on Finalize.

Important Note: Once a note has been finalized, you only have seven days to revert it back to a draft to make any changes. Don't worry if you need to add content after seven days. You can add an addendum to the clinical note that will be dated and timestamped when it was added.

Viewing Previous Clinical Notes

  1. Locate the Draft Note you are working on.
  2. Click on the Three Dots at the end of the Service row.
  3. Click on View Previous Notes.
  4. You can scroll through clinical notes or Export the clinical note as a PDF.

Sending Follow-up Emails

You may want to follow up with a Patient after their treatment.

  1. Click on the Three Dots at the end of the Service row in a Draft or Finalized note.
  2. Click on Send Follow-up.
  3. The Follow-up template will be displayed.
  4. You can make modifications to the template.
  5. You have a choice to send the follow-up email now or later.
  6. Click either Email Now or Schedule Follow-up.

Important Note: When setting up templates in the Clinic Settings, you can customize your follow-up email under the Patient Notification section.

Adding an Invoice

  1. Click on the Three Dots at the end of the Service row.
  2. Click on Add Invoice.

Important Note: When you add an invoice from the listing page, it will not be displayed in the chart on this page. Only invoices added from an appointment will be displayed as a clinical note listing page checkmark.

Linking Appointments to a Clinical Note

If you create a new Clinical Note under the Patient's Profile, it will not be associated with the appointment they have booked in your Calendar. However, you can link them if you want them to be connected.

  1. Click on the Three Dots at the end of the Service row.
  2. Click on Link Appointment.
  3. Choose the Appointment you want to link.

Deleting a Clinical Note (Draft Only)

  1. Click on the Three Dots at the end of the Service row.
  2. Click on Delete.

Important Note: If you want to delete a Finalized note, you must revert it back to a Draft note. This can only be done within 7 days of Finalizing the note.

Printing a Clinical Note

  1. Click on the Print Icon in the top right corner of the page.
  2. Select the Date Range, Practitioner, and whether to include Diagrams and Snapshots.

Important Note: You can print individual finalized notes by clicking the Three Dots at the end of the service row.
